Booking & Scheduling

  • All sessions must be booked through the official booking site or Invoice.

  • Appointments must be scheduled at least 48 hours in advance.

  • A 50% non-refundable deposit is required to secure all bookings.

  • The remaining balance must be paid no later than 24 hours before the scheduled session.

  • Any session not paid in full by this deadline will be canceled and not honored.

  • Team, game-day, and event sessions must be paid in full at least 24 hours prior.

  • Event bookings are reserved for the full scheduled time and must be paid in full regardless of actual usage.

  • Bookings are non-transferable and may not be reassigned without written approval.

  • Payment of the deposit confirms agreement to all terms.

Payments

  • All bookings and primary payments must be made through the official booking platform.

  • Additional balances may be paid via Zelle, PayPal, Apple Pay, or Cash App if necessary.

  • Cash payments are not accepted.

  • Any required location, permit, field access, or venue fees will be added to the total cost.

Travel Fees

  • Travel is calculated at $10 per 30 miles traveled from the photographer’s home base.

  • Travel fees apply to all locations outside a 30-mile radius.

  • Round-trip mileage is used to calculate total travel distance.

  • Travel fees must be paid prior to the session and will be included in the final invoice.

Rescheduling Policy

  • Clients must initiate all rescheduling requests.

  • Rescheduling is:

    • Free if requested at least 48 hours in advance

    • $25 fee if requested the day before

    • $50 fee if requested the day of

  • Multiple reschedules:

    • Second reschedule: $35 fee

    • Third reschedule: Session is canceled with no refund

  • Emergency reschedules (injury, illness, weather, etc.) may be granted at the photographer’s discretion with proper communication.

  • Excessive rescheduling may result in refusal of future bookings.

Lateness & No-Show Policy

  • Clients must notify the photographer if they expect to be late.

  • A $20 late fee will be applied if the client is 15+ minutes late.

  • If the client is 30 minutes late without communication, the session will be canceled with no refund.

  • Session time will not be extended due to lateness.

  • No-shows result in forfeiture of all payments.

Cancellations & Refunds

  • The 50% deposit is non-refundable and serves as a cancellation fee.

Cancellation timelines:

  • 48+ hours notice:

    • Deposit may be credited toward a future session (valid 90 days), OR

    • 50% refund if paid in full

  • Day before session:

    • Up to 25% refund, OR

    • Free reschedule within 90 days

  • Day of session:

    • No refunds

    • Reschedule available within 90 days with a $50 fee

  • Weather does NOT qualify for cancellation (reschedule may be offered).

  • Emergency cancellations (injury, illness, etc.) may qualify for refund or reschedule at the photographer’s discretion.

Photographer Cancellation & Liability

  • If the photographer cancels, the client will receive a full refund or free reschedule.

  • In the event of equipment failure or lost/damaged files, liability is limited to the total amount paid.

  • The photographer is not liable for missed plays, limited playing time, or restricted field access.

Image Delivery

  • Final edited images will be delivered via an online gallery.

  • Turnaround time is typically 5–10 business days (not guaranteed).

  • Game-day/tournament coverage may take longer.

  • Raw images are not provided.

Creative Control

  • The photographer retains full creative control over shooting, editing, and selection.

  • Specific plays, moments, or outcomes are NOT guaranteed.

  • Final images are delivered at the photographer’s discretion.

  • Additional edits may require an extra fee.

Copyright & Usage

  • The photographer retains full copyright ownership of all images.

Personal Use License includes:

  • Social media posting

  • Personal sharing

Restrictions:

  • Images may NOT be sold, altered, or used for commercial purposes (including NIL deals, sponsorships, or promotions) without written permission and licensing.

Model Release

  • The client grants permission for images to be used for:

    • Portfolio

    • Social media

    • Marketing

  • Privacy requests must be submitted BEFORE the session.

Athlete & Client Responsibilities

  • The client/athlete is responsible for:

    • Arriving on time and prepared

    • Wearing appropriate gear/uniform

    • Securing access to fields, gyms, or venues

    • Obtaining any required permission, credentials, or clearance for the photographer to shoot at events or venues

  • The photographer is not responsible if access is denied due to lack of proper clearance or credentials.

  • Some schools, leagues, or venues may restrict or prohibit photography, and it is the client’s responsibility to confirm access in advance.

  • Sideline, court, or field-level access is NOT guaranteed and is subject to venue rules, staff, officials, or security.

  • The photographer is not responsible for missed shots due to playing time, injuries, coaching decisions, or restricted access.

Conduct

  • The photographer may terminate the session without refund for:

    • Unsafe

    • Disrespectful

    • Unsportsmanlike behavior

File Storage & Gallery Access

  • Images will be stored for up to 30 days after delivery.

  • Galleries may expire after 30 days and may require a fee to restore.

Force Majeure

  • Neither party is liable for events beyond control (weather, injury, emergencies).

  • Reschedules/refunds are at the photographer’s discretion.

Chargebacks

  • Clients agree not to initiate chargebacks outside of these terms.

Entire Agreement

  • This agreement represents the full understanding between both parties.

Severability

  • If any portion is unenforceable, the rest remains valid.

Agreement

  • By booking, the client agrees to all terms above.

  • The photographer reserves the right to refuse service at any time.
